The SISTA News: Organization Management

During the summer, our SISTA team has been intensely preparing for the new system functionality that we are excited to present to you. This feature, called Organization Management, will enable us to streamline bureaucratic processes related to project administration. As a result, it will be easier for you to work within the system and apply for support.

What is it about?

TA CR was inspired by the good practices of the European Commission and its framework programmes, where a similar Organization Management works. Every organization (enterprises, research organizations, universities, etc.) applying for TA CR support must complete the SISTA registration process. The organization will then appoint one or more administrators who can collectively manage the organization’s data. From January 2025, it will not be possible to submit project proposals to TA CR calls for proposals, and later also within the framework of public tenders implemented in SISTA, if your organization is not registered in SISTA. It will also not be possible to involve new organizations or persons in implemented projects through the Project Change Management procedure. We therefore recommend registering your organization as soon as possible.*

*Subject registration in the Organization Management module is currently only available for Czech entities. We will launch this option for foreign entities in the next implementation period, which we expect within two months.

How does it work?

  1. Each organization will designate one or more administrators who will need to complete the identification process using one of the accepted means of identification (such as NIA ID or Bank Identity). If you do not have a Citizen’s Identity (NIA ID) or do not use a Bank Identity (Internet banking), you can easily create one using the Citizen’s Identity website.
  2. Subsequently, one of the persons selected by you will register your organization, which will establish the first official administrator of the organization. This person can then add other administrators and organization employees, who will have different rights.

Which rights will administrators have?

Administrators will be able to manage the profile at several levels:

  • Management of persons (persons linked to the organization who will actively enter the system or inactive persons who will only be listed within the project teams): administrators of the organization will have an overview of all users or persons registered in the system in one place, from where then the given information will be projected for the organization into individual projects.

You can create multiple Applicant/Beneficiary profiles linked to your organization using one user account that you use to log into SISTA. This means that one Applicant/Beneficiary profile can be associated with only one organization. If you want to be connected to several organizations within SISTA (due to participation in several different project teams), you’ll need to create a separate Applicant/Beneficiary profile for each organization. This allows you to have a distinct agenda for each employer and receive communications through different email addresses or phone numbers associated with each profile.

Example:
User Petr Test is affiliated with the company COMPANY and the university UNIVERSITY. Petr Test needs to be registered in SISTA under both the company COMPANY and the university UNIVERSITY in order to manage projects for both organizations. As a result, Petr Test needs to create two profiles of the Applicant/Beneficiary type:
→ The first profile will be associated with company COMPANY, allowing Petr Test to represent the company in its projects or be registered in the project team.
→ The second profile will be associated with the university UNIVERSITY, allowing Petr Test to represent the university (and possibly all its faculties) within its projects or be registered in the project team.

  • organization information: administrators will have an overview of basic information about the organization (CIN, name, registered office, statutory representative, etc.), which will also be replicated in individual projects
  • projects overview: administrators will have an overview of all implemented and prepared projects of their organization in one place, which will lead to better management of individual activities and fulfillment of duties across the organization

All the system rights of individual administrators can be found in more detail in the consent outlining the conditions of subject registration to SISTA and user management. This agreement can be found in the attachment of this email. This consent must be confirmed when registering the entity.

What are the benefits?

Registration of the organization in combination with identification of all users will bring benefits such as reduction of more complex bureaucratic tasks during the project’s administration. Thanks to the Organization Management, it will no longer be necessary to send a confirmation in the data box for each action in the system. At the same time, the Organization Management will allow you to provide information in one place, which will be automatically assigned to individual projects from the profile. This eliminates the need to repeatedly enter the same information for each project.

As we announced earlier, SISTA is launched by degrees to enable you to work more comfortably and uninterruptedly in the system. This means that even the individual functions of the Organization Management module will be added gradually.
